How we work with you to facilitate the charity abseiling event - Terms and Conditions

Thankyou for considering Rock and Ice as your abseiling event provider. We can assure you the day will run smoothly as we have a wealth of experience in this area.

Please print this page off for your records.

Prior to the event:

You will have a risk assessment and method statement carried out by a senior Rock and Ice instructor - this will be forwarded to yourself and the building facilities manager as required.

Copies of our insurance will be provided at this point on request.

Once we have visited the site we will allocate the staff to your event to handle the technical side only - you are required to marshal the event i.e. Provide several persons to man a registration point and manage the participants arrival.

Payment in full will be required prior to the risk assessment and the event itself. A deposit is acceptable with the balance to be paid 30 days prior to the start date.

Bad weather/extreme weather conditions could affect your event, we will attempt to provide you with reasonable re-booking fees if this occurs.

Your promotional material - All material used to promote or advertise your event should mention Rock and Ice as the provider of the activity and a link to our website should be included: www.charityabseils.com failure to do this will increase our final fee charged to you by £450.00 This allows participants to see which company will be taking responsibility for their safety during the event and also ensure continuity of our website listings - we will reciprocate through our Grapevine on request.

We recommend you take a registration fee from the participants to cover the basic costs - people will often let you down at the last minute if they are not held to a basic contract - £25 - £35 is a reasonable fee to charge.

We require all participants to inform us of any medical conditions that would possibly affect them on the day.

Please use a document for registration that contains the following information:

Full name: ............................................................. Age: ...............................................

Address: ........................................................................................................................

Telephone number: .....................................................

Next of kin: .................................................................

Telephone number: .....................................................

Medical conditions we should be aware of:

..................................................................................

I accept that abseiling is a potentially hazardous activity and am willing to participate in adventurous activities.

Signed: ......................................................................

Minors

NB. If any participants are under 18 years of age we require this AALS form filling out by their parent or legal guardian

________________________________________________________________________________________________________

On the day we request you have Avery labels with the participants name on so we can identify who has medical problems. If the participant has no issues use lower-case for their name and if the participant has a condition we need to be aware of please use capital letters. This way we can ask in a discreet manner.

Clothing requirements

Suitable clothing must be worn. This excludes scarves, heavy jewellery, dresses and high heels. It may rain on the day so please bring a waterproof jacket. Long hair must be tied back or it may get caught in the ropes on descent.
Leather gloves will be provided but if you wish to use your own any building/gardening type of glove will suffice.

Mobile phones and wallets should not be carried in open pockets, we would prefer them to be left in a safe place during the abseil as they could fall out of the pocket and cause a problem.

Cancellation fees

Cancellation within one month of the event by the client Rock and Ice will retain 100% of fees and have the right to press for any outstanding payments. The deposit will be retained in all other cases.

Rock and Ice reserve the right to cancel an event that is underway at any point due to safety reasons, bad weather or unreasonable behavior of clients or participants affecting the integrity of the event retaining 100% of fees without explanation if deemed necessary.
